Information on publishing doctoral dissertations in information systems
(in order of publishing)
Archive of Diploma Theses
The candidate shall upload their doctoral dissertation to the Archive of Diploma Theses (APD) immediately after submitting it to the Scientific Councils Office. It is necessary, among other things, to order, via the APD, an examination in the Uniform Anti-Plagiarism System (in accordance with Article 188, section of the Act of 20 July 2018. Law on Higher Education and Science, hereinafter: “PSWiN”).
Access to the content of the dissertation is then available to:
- the candidate;
- dissertation supervisors;
- the assistant supervisor;
- reviewers with a Central Authentication System (CAS) account;
- members of the doctoral committee;
- authorised employees of the UW administration.
Persons other than those mentioned above shall have access to the following information about the dissertation (without access to its content):
- language of the dissertation;
- title;
- author;
- dissertation supervisors;
- organisational unit;
- date of submission;
- summary in Polish;
- summary in English;
- keywords;
- dissertation reviewers.
Bulletin of Public Information
Pursuant to Article 188, section 1 of the Law on Higher Education and Science, an entity awarding a doctoral degree shall post the doctoral dissertation, which is a written dissertation, together with a summary or a description of the doctoral dissertation, which is not a written dissertation and reviews, in the Bulletin of Public Information (BIP) on the entity’s page no later than 30 days before the date set for the defence of the doctoral dissertation. Access to the materials in the BIP is not subject to any restrictions; however, the dissertation or its description, summary and reviews are removed from the BIP within approximately one month after the administrative decision in the proceedings for the award of the doctoral degree becomes final.
POL-on and RAD-on
Pursuant to Article 188, section 3 of the Law on Higher Education and Science, the same documents published in the BIP shall be then posted immediately in the POL-on system. The time limit for the storage of the dissertation is not specified by the legislature.
On the RAD-on website, it is possible to download the doctoral dissertation, reviews and read the following information:
- degree;
- degree type;
- date of initiation of the proceedings;
- status of the proceedings;
- date of award of degree;
- award decision number;
- field;
- discipline;
- entity conducting the proceedings;
- date of submitting the dissertation;
- names and surnames of the reviewers;
- data of the entities employing the reviewers.
Access to the materials in the RAD-on is not subject to any restrictions.
Repository
- Access via the UW Library and Information System
Making the dissertation available to the public, pursuant to Article 188, section 1, point 1 and section 3, as well as Article 348, section 1, point 1, letter c and section 3 of the Law on Higher Education and Science, shall mean that it becomes a disseminated work within the meaning of Article 6, section 1, point 3 of the Act of 4 February 1994 on copyright and related rights, hereinafter: the “copyright act”.
Therefore, it may be used within the scope of the permissible use provisions of the copyright act. The University of Warsaw may make the dissertation available in accordance with Article 28, section 1, point 3 of the copyright act, i.e. for research and learning purposes through information technology system endings (terminals located on the premises of the University of Warsaw). Access to the dissertation depends on the type of licence granted to the University of Warsaw by the author (see section 2).
If no licence is granted by the author, access to the electronic version of the dissertation will only be available on a computer in the Reading Room at the University of Warsaw Library.

The author may grant the University of Warsaw a non-exclusive, free, time-unlimited and territorially unrestricted licence for public access to the doctoral dissertation on the website of the University of Warsaw Institutional Repository (https://repozytorium.uw.edu.pl).
By submitting the relevant Declaration to the University of Warsaw Library (BUW), the author grants permission to use the dissertation based on the permissible use or the author grants the University of Warsaw a Creative Commons Poland licence (also known as the CC licence) or another language version of this licence, published by the Creative Commons organisation.
In this case, the author must choose one specific Creative Commons licence:
- CC BY (Attribution),
- CC BY-SA (Attribution-Share Alike),
- CC BY-ND (Attribution-No Derivatives),
- CC BY-NC (Attribution-Non Commercial),
- CC BY-NC-SA (Attribution-Non Commercial-Share Alike),
- CC BY-NC-ND (Attribution-Non Commercial-No Derivatives).

Granting a Creative Commons licence means, among other things, agreeing to public access to the dissertation on the Internet and allowing anyone to disseminate the work, subject to respecting the author’s moral rights, mainly providing information about the author.
Other rules regarding doctoral dissertations
After completing the Declaration, the author should print it, sign it and deliver it to the BUW. An electronic signature is also possible. Information about the doctoral dissertation, reviews, and licences (metadata and files) is electronically transmitted to the UW Institutional Repository, where they are publicly available at least 30 days before the defence. In order for search engines (e.g. Google Scholar) to better index PDF files of dissertations, metadata identifying the author, title, keywords, and university name will be embedded in the files. On the first day after the defence date, access to the files is closed unless the author has agreed to make the content of the dissertation available in open access based on the permissible use or under a Creative Commons licence. Metadata describing the dissertation (including the author’s name, supervisor, title of the work, abstract, keywords, faculty, and defence date) remains publicly available (in the so-called public domain) on the UW Institutional Repository website. Bibliographic descriptions of doctoral dissertations are included in the UW Library Catalogue and are searchable in the nationwide library network OMNIS.
